Job Description
Job title: Proposal Drafter Coordinator
Duration: 6 Months CTH
Location: Remote
Summary:
The proposal coordinator is a support role and a critical member of our 20-person sales team. This position works closely with their assigned project, identifies its details, contributes data/statistics, and gathers information relating to each project scope. Core to this role is to draft initial proposal responses carefully and with compliance to the RFP; this draft is then sent to a writer for customized writing. This process requires skill and focus on reading comprehension, proofreading, and document formatting.
The proposal coordinator is responsible for the compliance of our documents; this position is responsible for completing business forms and obtaining legal documents, coordinating with our legal and risk teams regularly.
Serving as the bookends to the process, the proposal coordinator is also responsible for supporting the production process (collating, binding, hold punching, etc.) of substantially large documents
It is expected that the proposal coordinator follows all stated SOPs, RFP requirements, and MV Style guides.
Job Responsibilities
Candidates must understand how to use MS Word styles, basic formulas in Excel; create and compile PDFs; navigate and use Salesforce; Experience in MS Project is preferred.
Participates in all strategy calls
Researches each client, the service for each proposal
Responsible for the accuracy and completion of all forms for each bid response. Must be able to fill out all forms in Adobe, redact proposals, forms, etc.
Forms must be complete and follow all proper signatures, seal, and notarize requirements as noted in each RFP
Gathers all necessary documents, data, statistics, attachments, and other materials needed to produce compliant proposals. Must be able to interface with various other departments and suppliers
Responsible for the oversight of the physical collation, packing, and shipping of proposal documents.
Reads/reviews RFPs and all associated attachments and addenda
Reads and understands all DBE (Disadvantaged Business Enterprises) requirements for each bid
Requests bank letters, bonds, business licenses, tax implications, insurance, and contract exceptions (legal and risk)
Creates proposal drafts using boilerplate text and customizes proposal drafts to meet the RFP and project strategy (i.e., PM cycles, training requirements, management team names, job positions/titles based on RFP requirements, etc.)
Coordinates with legal and risk teams for obtaining document exceptions and forms compliance.
Writes formal questions related to RFP requirements
Updates Salesforce, Microsoft Team sites as needed
Updates all bid sites/uploads/passwords and scanning sites for opportunities
Administrative assistance for the production team
Education and Experience Requirements
BA or BS degree in English, Journalism, Psychology, or Social Science and 3+ years of demonstrated complex proposal writing experience, preferably in public/passenger transportation
Microsoft Office (Word, Excel, PowerPoint, Outlook) Microsoft Teams and Adobe Acrobat Professional superuser.
Salesforce experience preferred
Public Notary is a plus
Must be resourceful, ask questions, create solutions
Strong organizational skills, proficiency in managing multiple responsibilities, and excellent time management skills.
Superb reading comprehension skills
Critical thinking skills are a must, as is creative problem solving and time management
Strong communication (speaking, writing) skills and behave professionally under pressure. They must be honest, organized, and able to work on multiple high-priority tasks simultaneously.
Transportation sector experience preferred
High emotional intelligence
Expert or highly advanced proficiency with Microsoft Office Suite
